EUTCT Help: View Controlled Term List

Introduction

Help icon Each page of the EUTCT application (other than the Home page) has a Help page that can be opened through the question mark button and 'Help' link in the top right of the application window.

Downloading Controlled Term Lists

Download buttons unavailable crop

Guest users cannot download Controlled Term Lists so the 'Download XML' and Download CSV' options are unavailable.

Licensed and Secretariat users can download the entire currently viewed Controlled Term List, or parts thereof, based on their chosen search criteria.

If you wish to download information from EUTCT:

  • You will need a Licensed or Secretariat user role. If you do not have an EUTCT user role - and you feel that you have a valid justification for obtaining one - please complete the EUTCT Access Request form and send it your NCA Coordinator. The NCA Coordinator list can be downloaded here.
  • With Licensed or Secretariat user roles, you can download full or part Controlled Term List in either XML or CSV outputs.

Search Criteria


The Search Criteria window (also known as the Simple Search) contains three fields that can be used for a variety of searches of the currently selected Controlled Term List:Search Criteria - All Entry Fields

  • Identifier: Search for Controlled Terms by their Term Identifier, which is a Controlled Term’s unique numerical identifier. This is also the number that orders the Controlled Term List.
  • Any Name: Search for Controlled Terms by their English Term Name, English Short Name, or English Other Name.
  • Click Reset button to clear the fields.
  • Click Search button to perform a search using the criteria you have entered in the search fields.
  • Click Advanced Search link to open the Advanced Search page, where a more detailed and specific search can be performed.
  • The Advanced Search Help is accessible through the Help icon link in the Advanced Search screen.

Search by Term Identifier

If you have a Controlled Term's unique Term Identifier (which takes the form of a 12 digit code), enter this code in the Term Identifier field.

To search for a Controlled Term by its Term Identifier:
Specific Criteria - Term id
  1. Enter the Term Identifier in the Identifier Search field.
  2. Now click the Search button button.
  • If your search is successful, the system displays its result which is the Controlled Term with the Term Identifier you entered.
  • If your search is unsuccessful, check that you have the correct Term Identifier, or use a different, less specific search type, such as Search by Any Name, below.
Note: You must know the exact Term Identifier to make a successful search.

Search by Any Name

If you know the name of a Controlled Term (i.e. Term Name), you can search using this tool:

Search - Any Name Field
  1. Enter your search criteria in the Any Name field.
  2. Now click the Search button button.
  3. The system returns all English Controlled Terms in the Controlled Term List containing the search criteria you entered in a Results list at the bottom of the page.

E.g. A search for 'Human' in the Domain Controlled Term List, returns all Controlled Terms containing 'Human' in their English Term Name, English Short Name, or English Other Name.

Tip: If you are unsure of the full English name, you may:

  • Search for part of a Term Name. See the section Search by Part of a Term Name, below.
  • to search for Term Names, Short Names and Other Names in other languages, use the Advanced Search link.

Search by Part of a Term Name

If you only know part of an English Controlled Term Name, Short Name or Other Name simply enter the part of the Term Name or Short Name in the relevant field, then click Search button to return results containing the entered text string.

Note: Note that this feature is available in Any Name searches only, NOT in Identifier searches. To successfully search for Identifiers, the entire 12 digit Term Identifier must be included.

Special Characters Search

You may now search for a larger number of special characters, such as Ã, ®, ©, š, º, µ in all fields of the EUTCT search other than Term Identifier. The Search function allows searching for alphanumeric characters and special characters. Alphanumeric characters are defined as all the letters of the English alphabet and the numbers 0-9.

Note: If you find a special character that is not supported, please contact eutct@ema.europa.eu indicating which special character is unsupported. This information can be used by our development team to improve the functionality of future versions of EUTCT.

Advanced Search

Click Advanced Search link to open the Advanced Search page, where a more detailed and specific search can be performed. The Advanced Search Help is accessible through the Help link in the Advanced Search page.

Controlled Term List Window

This window contains all the Controlled Terms in a selected Controlled Term List if you haven’t made a specific search. If you make a specific search, the window contains only the Controlled Terms found in the search.

  • Certain Controlled Term Lists may now be viewed in an expandable, hierarchical format, which makes navigation and understanding of a number of important Controlled Term Lists far simpler and more useful for users.
  • Hierarchical View link crop Click this link, which appears at the bottom of the page of certain Controlled Term Lists to view the Controlled Term List in an expandable, hierarchical format.
  • Note: If you make a specific search, the window contains only the Controlled Terms found in the search.

    Identifier: The Identifier of a Controlled Term is a numerical value that allows a Controlled Term to be uniquely identified. The Term Identifier is exchanged between applications in order to identify the Controlled Term used.

    • To sort the Controlled Terms by their Identifier, click the Identifier hyperlink or the greyed out sorting arrows (a). The default setting sorts by ascending alphabetical Term Name (see Sort Lists section for full details).
    Note: The EUTCT system automatically assigns a unique numerical Term Identifier of 12 digits to every Controlled Term in the terminology.

    b Term Identifier hyperlink: Click this to view the Controlled Term’s full entry.

    Term Name: This is the official full name of the Controlled Term in English.

    • To sort the Controlled Terms by their Term Name, click the Term Name hyperlink (a) or the sorting arrows (e). The default setting sorts by ascending alphabetical Term Name (see Sort Lists section for full details).
    d Controlled Term List Navigation: Click the navigation buttons (d) to view other pages containing Controlled Terms. See Navigating in the Controlled Term Lists Window section for full details.

    Sorting Arrows: Click to activate or change sorting order by the selected criterion.

    Note: Click the column heading text hyperlink to perform the same function.
    f Short Name: This is the first or principle shortened, acronym or abbreviated version of the Controlled Term's name in English.

    Status: This is the latest status of the Controlled Term.

    Key To Controlled Term Status

    CURRENT: Controlled Term is approved for use in new applications/records.

    PROVISIONAL: When a Controlled Term is entered into the system after the initial sign-off of the Controlled Term List, but prior to approval by the Terminology Evaluation Group (TEG). Note that this may not be used in every Controlled Term List.

    NON-CURRENT: The Controlled Term is not approved for use in new applications/records. The Controlled Term is not physically removed from the system and is maintained to cover legacy data.

    NULLIFIED: Used when a Controlled Term has been published in error and needs to be removed.

    UNDER CONSULTATION: The status of "Under consultation" is used to indicate that a Controlled Term is being made available for the consultation process on the content of the Controlled Term Lists prior to the initial sign-off of the Controlled Term List.

    h Terms per page: Click the Drop-down arrow button to choose the number of Controlled Terms that are displayed on each browser page.

    Navigating in the Controlled Term List Window

    Use following buttons to navigate within Controlled Term Lists that extend over more than one page:

    Active: Jump to first page of results

    Inactive: Jump to first page of results - inactive

    Click Jump to first page of results to jump to the first page of the Controlled Term List.

    Active: Jump to previous page of results

    Inactive: Jump to previous page of results - inactive

    Click Jump to previous page of results to jump to the previous page of the Controlled Term List.

    Click in the white field and enter a page number, then press ENTER on your keyboard.

    Active: Jump to next page of results

    Inactive:Jump to next page of results - inactive

    Click Jump to next page of results to jump to the next page of the Controlled Term List.

    Active: Jump to last page of results

    Inactive: Jump to last page of results - inactive

    Click Jump to last page of results to jump to the last page of the Controlled Term List.

    Lists per page drop down crop Click the drop-down arrow button to choose the number of Controlled Terms that are displayed on each browser page.
    Sort inactive icon Click the Sort inactive icon button to sort a column by descending order of the selected criterion. Highest to lowest such as '10 > 1' or 'Z to A'.
    Sorted by descending order icon Click the Sort ascending order icon button to sort a column by ascending order of the selected criterion. Lowest to highest, such as '1 > 10' or 'A to Z'.
    Sorted by ascending order icon Click the Sort ascending order icon button to sort a column by descending order of the selected criterion. Highest to lowest such as '10 > 1' or 'Z to A'.

    Click this link, which appears at the bottom of the page of certain Controlled Term Lists to view the Controlled Term List in an expandable, hierarchical format.

    Sort Controlled Terms

    You can now sort Controlled Terms in ascending and descending order by certain attributes. Currently, these attributes are:

    To sort the Controlled Terms by their Identifier, Term Name, Short Name or Status, click the hyperlink or the sorting arrows icon.

    Note: The default setting sorts by ascending alphabetical Term Name.

     

    Sort inactive icon Click the Sort inactive icon icon to sort a column by descending order of the selected criterion.
    Sorted by descending order icon Click the Sort ascending order icon button to sort a column by ascending order of the selected criterion.
    Sorted by ascending order icon Click the Sort ascending order icon icon to sort a column by descending order of the selected criterion.

    Change Number of Controlled Terms Per Page

    You may now choose the number of Controlled Terms that appear on each page from a range of options: 10, 20, 50 and 100. This is hoped to assist users of the Lists in viewing contents.

     

    Note: If you choose a large number, you may need to scroll in your browser window to view all the entries on a page.
