Introduction
| Each page of the EUTCT application (other than the Home page) has a Help page that can be opened through the question mark button and 'Help' link in the top right of the application window. |
- Click either the question mark icon or the text, to view the relevant help page of the EUTCT application in a new window.
- These help pages are optimised for a browser text size setting of 'Medium' (in Internet Explorer) or 'Default' (Firefox).
- Internet Explorer users: To adjust text size, click 'View' then select 'Text Size' and choose 'Medium' (or use CTRL +/-).
- Firefox users: To adjust text size, click 'View' then select 'Zoom' to access the the zoom options (or use CTRL +/-).
- To view the topics as they relate to the View Available Lists screen, see the Contents above, or scroll down the page using the scroll wheel on your mouse, or the arrow keys and Page Up/Down keys on your keyboard.

If you encounter any issues with these help pages or simply wish to request an enhancement to the content, please send your comments to eutct@ema.europa.eu for consideration. If deemed appropriate, they will be passed on to the development team for implementation in a future release.
User Info
The User Info in the top right corner of the browser's window displays the user name you have logged in under (if any) as well as your role. In addition, the version of the application is displayed in the blue bar above.
These are the user roles available within EUTCT. Registered users may have more than one user name and role. Each of the roles described below details the functionality available within the system for a particular role. Note that some of the activities of certain roles currently take place outside of the system.
User RolesGuest: Guest users have read-only access to the EUTCT Controlled Term Lists. Guest users access EUTCT via the link at the bottom of the welcome page, which provides browse and search access to the available Controlled Term Lists. Licensed: In addition to the browsing and searching access to available Controlled Term Lists, Licensed users may also download full or parts of a Controlled Term List in XML (using the published schema) and CSV format (if practical) from the EUTCT system. Change Requestor: Change Requestor users can browse and search available Controlled Term Lists, but cannot download Controlled Term Lists in either XML or CSV format. Change Requestors may also request amendments to the content of the EUTCT system, as follows:
Note: For information about the Change Request process for EUTCT, please review the EUTCT Change Request Process document. For specific system instructions to make a Change Request, please see Change Requests for Controlled Terms in EUTCT, below. Secretariat: This user role is issued to members of EUTCT secretariat, who are responsible for managing all changes to the Controlled Terms that the EUTCT system contains. Secretariat users may perform the following activities, in addition to the activities described above:
Translator: The Translator user role is specifically issued to individuals appointed to translate Controlled Terms in EUTCT. Translator users may perform the following activities:
Note: The TEG Member user role is issued to members of EUTCT Terminology Evaluation Group, who are responsible for reviewing and voting upon Change Requests made through the EUTCT Change Request Process. This user role is used within the Change Request component of EUTCT and cannot be used to login to EUTCT itself. Switching User RolesBy default, when you log in to EUTCT, your 'strongest' role, as specified in your user name's Eudra Common Directory entry, defines your level of access to the system. However, if you possess multiple roles, you may wish to switch to another role without logging out and logging in again.

EUTCT Documentation
The EUTCT Supporting Documentation page is intended to be a repository of documents related to EUTCT. It contains a Glossary, Frequently Asked Questions (FAQs), What's New in the latest version of EUTCT and a complete list of the Available Controlled Term Lists.

Log On

- To log on to the EUTCT application, you require a user name, user role and password to be allocated. Anyone with access to EudraNet automatically possesses 'read-only' guest user access.
- If you have an EUTCT user role, then click the 'Log on' button (highlighted, above) to access the application through the Single Sign-On portal.
- If you do not have an EUTCT user role - and you feel that you have a valid justification for obtaining one - please complete the EUTCT Access Request form and send it your NCA Coordinator.
- The NCA Coordinator list can be downloaded here. The user roles are explained in detail above.
- Once your request has been approved, the EUTCT Service Desk will add you to the requested role and inform you that access has been granted. If you do not have an SSO username and password they will create one for you.
Note: If you do decide to log on to the EUTCT system, we recommend that you always log off if you have to step away from a shared workstation.

View Available Lists
The View Available Lists page contains all currently available Controlled Term Lists.

Click the 'View Available Lists' link (highlighted, left a) to jump to the View Available Lists page from any other page in the application. This page displays all the Controlled Term Lists currently in the EUTCT system. |
Change Requests for Controlled Terms in EUTCT
A Change Request is the process by which contributors to the EUTCT system add, amend, change the status of, or remove Controlled Terms and Controlled Term Lists from a published Controlled Term List.
- It should be noted that a Change Request may be submitted only by users possessing the Change Requestor or Secretariat roles.
- Guest Users, Licensed Users and Translator Users can neither view Change Requests, nor initiate a Change Request.
- To apply for a user role, please contact your NCA Coordinator whose details are in the NCA Coordinator list
View Change Requests
As a Guest user, it is not possible to view or make change requests to Controlled Terms in the EUTCT system, so the link is not active (see highlight below).
A Change Request is the means by which contributors to the EUTCT system request to add, amend, or remove Controlled Terms from a published Controlled Term List. The Change Request Process is the process that involves the submission, validation and approval procedures that apply to the Change Requests.

Available Lists
This is the centrepiece of EUTCT. All the published Controlled Term Lists may be accessed, sorted and searched here. The links in this list provide access to each of the Available Controlled Term Lists, as well as information and attributes, relating to each published Controlled Term List.
Note: Due to licensing stipulations over the visibility of certain Controlled Term Lists, the number of Controlled Term Lists available depends upon your user role and the environment. Click
hyperlink at the top of the View Available Lists page to open Supporting Documentation page. The EUTCT - Available Lists document contains full details of the Controlled Term Lists available by user role.
Note: The default setting sorts by ascending alphabetical List Name (see Sort Lists section for full details).
Note: If you choose a large number, you will need to scroll in your browser window to view all the List entries.

List Identifier
The List Identifier column contains the unique List Identifier in the EUTCT system for a given Controlled Term List.
- To open a Controlled Term List, click the relevant Controlled Term List's link (under the List Name heading b, above).
- To sort by descending numerical order, click the
icon, once. Click
again to sort by ascending numerical order. - Click the navigation buttons to view other pages containing Controlled Term Lists (d), or enter the page number you wish to go to and press ENTER on your keyboard.
- To change the number of Controlled Term Lists on each page, click the ‘Lists per page’ drop-down and select from 10, 20, 50 and 100. The default number of Controlled Term Lists displayed is 20.
List Name
The List Name column contains the names of all of the currently available Controlled Term Lists in the EUTCT system.
- To open a Controlled Term List, click the relevant Controlled Term List's link (under the List Name heading b, above).

Navigating in the Available Lists Window
- You can navigate to other pages of Controlled Term Lists using the navigation buttons, as described below.
- Alternatively, you can enter a page number in the white field then press ENTER to view a particular page.
- To change the number of Controlled Term Lists you see on each page, use the ‘Lists per page’ drop-down to select 10, 20, 50 or 100 entries per browser page. The default number of Controlled Term Lists displayed is 20.

List Version
The List Version column contains the version details of the currently published Controlled Term Lists. The versioning system is dependant upon the list owner's own criteria. For example: 11.0 or 2007. EUTCT Internally Managed Controlled Term Lists have an incremental revision number that is not displayed.
- If List Version information is not available, this is because it is not applicable.
- Click the navigation buttons to view other pages containing Controlled Term Lists (d), or enter the page number you wish to view and press ENTER on your keyboard.
List Information
Controlled Term Lists Information documents for each of the Controlled Term Lists are maintained by the Terminology Evaluation Group.
- List Information provides an understanding of a Controlled Term List's expected use, the domain it operates within, its owner, whether Change Requests can be made for Controlled Terms within it, and other potentially useful information.
- Click the
link alongside the relevant Controlled Term List to download and view the document containing List Information. Detailed instructions are provided below.
Note: For this release, the role of the Terminology Evaluation Group is performed by the Terminology Sub-Group of the EUTCT Telematics Implementation Group.
Downloading List Information
Note: Depending on your browser’s settings, a ‘File Download window appears. If it does appear, choose the option that best suits your needs from SAVE or OPEN.

Note: In certain cases, List Information documents do not open in the currently active Microsoft Word document window, which results in an error message: "Member Not Found" or "Object does not support Automation". This is a known Microsoft issue. Users are advised to close the existing Word document window, and then click the desired List Information link a second time to open a new document window. |

List Attributes
Controlled Term List Attributes are updated by the Terminology Evaluation Group and maintained by the EUTCT Secretariat.
- Move your mouse over the List Attribute text for the chosen Controlled Term List for a quick way to get information on a particular Controlled Term List, including the List’s Owner and its Last Modified Date.

Sort Lists
You can now sort Controlled Term Lists in ascending and descending order by certain attributes. Currently, the system allows sorting by Controlled Term List Identifier and Controlled Term List Name.
- To sort the Controlled Term Lists by their List Identifier or List Name, click the hyperlink or the sorting arrows icon (see screenshot above).
- The icon displayed indicates the current sorting criteria. In the above example, the Controlled Term Lists are sorted by their default of ascending alphabetical order (A to Z).
Note: The default setting sorts by ascending alphabetical List Name.

Change Number of Lists Per Page
You may now choose the number of Controlled Term Lists that appear on each page from a range of options: 10, 20, 50 and 100. This is hoped to assist users of the Lists in viewing contents.
- Click the
button to choose the number of Controlled Term Lists that are displayed on each browser page.

Click the alternative number, as shown left. The page reloads with your new settings. In this example, up to fifty entries may be displayed on one page. - The default number of Lists displayed on each page is 20.
Note: If you choose a large number, you may need to scroll in your browser window to view all the entries on a page.
